Privacy Policy
Last updated: June 13, 2026
This Privacy Policy explains how NiONlite LLC ("NiONlite", "we", "us", or "our") handles information when you use ByWhen ("the App"), a smart deadline reminder app for iPhone. By using the App, you agree to the practices described below.
Short version: ByWhen is designed to work mostly on your device. Your tasks, reminder settings, calendar blocks, rhythm settings, and local backups are stored locally unless you choose to export them. We do not sell your personal data and we do not use third-party advertising networks in ByWhen.
1. Information You Create in the App
ByWhen lets you create and manage deadline reminders. The information you enter may include:
- Task title, deadline, estimated duration, priority, task type, and recurrence settings
- Reminder style, dismissed reminder count, logged time, and task completion status
- Sleep time, wake time, work hours, workdays, and other scheduling preferences
- Calendar blocks you create manually inside the App
- Backup files you choose to export
This data is stored on your device using iOS local storage. Local backup files are also kept on your device. If you choose to export a backup to iCloud Drive or another location, that exported file is handled by Apple and the destination you choose.
2. Apple Calendar and Reminders
ByWhen can optionally access Apple Calendar and Apple Reminders after you grant permission through iOS.
Apple Calendar
- ByWhen reads calendar event times to create busy blocks the planner can avoid.
- The App imports current and future calendar blocks for scheduling purposes.
- You can choose to ignore imported calendar blocks for scheduling.
Apple Reminders
- ByWhen can import incomplete Apple Reminders with due dates as smart reminders.
- If you edit an imported reminder inside ByWhen, the App may stop overwriting that local edit during later syncs.
Calendar and Reminders data is used for planning inside the App. We do not sell this information or use it for advertising.
3. Notifications
If you allow notifications, ByWhen schedules local notifications on your device. Notifications may include task titles, deadline context, and actions such as start, remind later, log time, or mark done. You can control notification permissions in iOS Settings.
4. Subscription and Trial Information
ByWhen uses RevenueCat to manage subscription entitlement status and the 7-day ByWhen Premium access experience. Subscription purchases are processed by Apple through your Apple ID. We do not receive your full payment card number.
RevenueCat may process information such as:
- An app-specific RevenueCat customer identifier
- Subscription product identifiers, purchase status, renewal status, and expiration dates
- Anonymous app attributes related to access mode and trial status
ByWhen also uses a NiONlite-operated Cloudflare Worker to request a 7-day RevenueCat promotional entitlement for the reverse trial. That worker receives the app-specific RevenueCat customer identifier, entitlement identifier, and trial start/end timestamps solely to grant the trial entitlement.
5. Device, Diagnostics, and Support Information
Apple may provide crash reports, diagnostics, and TestFlight feedback if you choose to share them. If you contact us for support, we will receive the information you choose to include in your message, such as your email address, screenshots, crash details, or description of the issue.
6. Information We Do Not Collect
- We do not require a NiONlite account to use ByWhen.
- We do not collect precise location data.
- We do not access contacts, microphone, photos, or camera for core reminder features.
- We do not use third-party advertising SDKs in ByWhen.
- We do not sell, rent, or share your personal data for third-party marketing.
7. Third-Party Services
ByWhen may rely on the following third-party services:

8. Data Retention
Local ByWhen data remains on your device until you delete tasks, reset the App, uninstall the App, or otherwise remove the data through iOS. Exported backup files remain wherever you saved them until you delete them.
RevenueCat and Apple retain purchase and subscription records according to their own policies and applicable law. Support emails may be retained for up to 3 years for customer service, legal, and operational purposes.
9. Your Choices and Rights
- You can delete tasks inside the App or reset app data from Settings.
- You can disable notifications in iOS Settings.
- You can revoke Calendar or Reminders access in iOS Settings.

10. Children's Privacy
ByWhen is a general productivity app with an App Store age rating determined through Apple's age-rating process. The App is not designed to collect children's personal information for advertising, profiling, public sharing, or social features. If you believe a child has provided us personal information through support correspondence or another channel outside the App, contact us and we will take appropriate steps to review and delete it where required by law.
11. International Users
NiONlite is based in the United States. If you use ByWhen from outside the United States, information handled by NiONlite or our providers may be processed in the United States or other countries where those providers operate.
